Expensify: pricing and assessment

Expensify is one of the most widely adopted expense-report tools, known for SmartScan receipt capture and simple per-member pricing. The Collect plan targets small teams; Control adds policy enforcement and deeper accounting integrations (QuickBooks, NetSuite, Xero, Sage Intacct). Using the Expensify Visa card halves the effective subscription price.

Best for: Small-to-mid US teams that want fast receipt capture and per-member pricing without an ERP-scale rollout.

Strengths and trade-offs

Strengths

  • SmartScan receipt capture is fast and battle-tested at huge scale
  • Low per-member entry price, halved further with Expensify Card interchange
  • Collect plan billing counts every workspace member; Control bills only active users in a month

Trade-offs

  • Card-discount pricing means costs roughly double if you don't adopt the Expensify Card
  • Primarily an expense tool — procurement, bill pay, and travel are thinner than all-in-one platforms
  • No Japanese regulatory compliance features — US/global focus
